COMPLETE GUIDE

What an RMS is and why your hotel already needs one

An RMS (Revenue Management System) is the software that decides, with data, how much to charge for every room every night. Here is what it does, how it works inside and what a modern one looks like, with no jargon and no black-box promises.

The simple, jargon-free definition

An RMS (Revenue Management System) is the software that helps a hotel decide how much to charge for each room, each night. Instead of a flat rate or a hunch, it uses real data: your occupancy, your booking pace, your history and the prices of your competitors. With that it recommends the best rate for every date, and you decide whether it goes live.

The goal fits in one sentence: sell the right room, to the right guest, at the right price, at the right time. Without an RMS, strong nights sell cheap and soft nights stay empty, and that cost is invisible: you never see the booking you lost for being expensive or the margin you gave away for being cheap. That is why it is no longer a chain-only tool: the current generation was built for hotels of every size.

The six jobs of an RMS

What a modern revenue management system does, explained through how Sentinel AI does it inside R2 OS.

FORECASTING

Forecasts demand from your history

An RMS projects how many rooms you will sell on each future date. Sentinel AI does it from your own booking curve: it compares what you already have on the books against how that same date filled in your history, at the same lead time. The result is honest: never below what is booked, never above your capacity.

  • Pace: whether each date runs ahead or behind your own history
  • Pickup: the net bookings you gain or lose day by day
COMPETITION

Watches the prices in your market

Your price does not live alone: it competes with the hotels around you. The Sentinel AI rate shopper brings in the price, occupancy and reviews of your competitive set on Booking and Airbnb, so you know where you stand before moving a rate.

  • Your rate next to your competitors, date by date
  • One more signal to decide with, not an order to copy the neighbor
STRATEGY

Applies rules that you write

The strategy is yours, not the algorithm. You write clear if-this-then-that rules: triggers, conditions and actions, with a simulation mode to test them before they go live. And you set price limits, a floor and a ceiling per season and room category, that no recommendation can jump over.

  • Your policies written in plain terms, executed by the system
  • Floors and ceilings per season and category, always respected
RECOMMENDATIONS

Recommends every price with a why

Every day you get suggested prices per date, each one with the signals behind it: forecast, competition, events and the rule that produced it. They start pending and you approve with one click; once the evidence wins you over, you turn on auto-apply within your limits.

  • Explained recommendations, not blind orders
  • One-click approval, or automatic within your rules
RESULTS

Measures the outcome, live

A good RMS also tells you whether it is working. Sentinel AI shows your occupancy, your ADR (how much each sold room earns) and your RevPAR (revenue per available room, the metric that punishes both selling cheap and staying empty), live and without building spreadsheets.

  • Occupancy, ADR, RevPAR, pace and pickup in one panel
  • The projected month-end, always in view
TRANSPARENCY

Every number can be audited

The difference between a trustworthy RMS and a black box is being able to ask where each number came from. In Sentinel AI every forecast and every price exposes its method, its sample and the events behind it; and if there is not enough history to forecast, it says so instead of inventing.

  • Every number shows its formula and its evidence
  • A full trail of what was decided, when and why
THE SENTINEL DIFFERENCE

Many systems hand you a price and ask for faith. Sentinel AI shows you the full evidence, from the forecast to the rule that produced it, and the final word is always yours.

Frequently asked questions

How is an RMS different from my PMS or channel manager?
The PMS operates reservations and the channel manager distributes them to sales channels; the RMS decides, or recommends, what price to sell each night at. They complement each other: the RMS thinks the price and the others execute it. In R2 OS all three live together and the data is already connected.
Does an RMS only raise prices?
No. The goal is the right price, not the highest one. On soft dates it recommends adjusting in time to capture demand; on strong dates it keeps you from selling cheap what would have sold at full rate.
Do I need a revenue manager to use it?
No. Sentinel AI prepares the recommendations with their explanation and you approve with one click. And if you already have a revenue team, the rules engine gives them full control over the strategy.
Does the system change my prices without telling me?
Only if you allow it. Every recommendation starts pending your approval, and auto-apply is optional and always operates within the price limits you set.
What data does it need to start?
Your booking history, your inventory and your rates, which in R2 OS already live inside the system. Market signals, such as competitor prices and events in your region, are added by Sentinel AI. If your history is still short, it tells you instead of inventing.
How do I know the suggested price is right?
Because you can audit it. Every recommendation shows the forecast, the signals and the rule that produced it; if a system cannot explain a number, you cannot trust it. That transparency is the standard you should demand from any RMS.
